Patient Care Coordinator
The Patient Care Coordinator is responsible for managing the daily administrative operations and providing exceptional customer service to patients at our private optometry practice. This front office position acts as the first point of contact and ensures a smooth patient experience.
Responsibilities:
Open/close office by performing duties like counting cash drawer, unlocking doors, controlling music/lights
Manage all aspects of appointment scheduling - booking, rescheduling cancellations, sending reminders, handling waitlists
Serve as first point of contact - greet patients, collect information/payments, maintain files/records
Handle multi-line phone system, messages through patient portal, and office communication
Process incoming referrals, paperwork, faxes, mail distribution and insurance coordination
Oversee office inventory, restocking of supplies and retail merchandise
Perform daily reports, billing duties, documentation, and record keeping
Ensure office cleanliness, organization and stocking of disposable supplies
Provide general administrative support to clinical staff as needed
Requirements:
Strong communication, customer service, multitasking and organizational abilities
Detail-oriented with ability to maintain confidentiality and privacy
Professional and positive attitude when interacting with patients/staff
Proficiency with point-of-sale (POS) systems
High school diploma or equivalent

Clinical Technician
The Paraoptometric Clinical Technician plays a vital role in supporting the delivery of excellent
patient care in our optometry clinic. This position is responsible for preparing examination
rooms, maintaining clinical and contact lens supplies, processing contact lens orders, and
ensuring efficient clinic operations.
Responsibilities:
Open examination rooms by turning on diagnostic equipment, computers, and clinical software
Prepare for upcoming patient visits by creating patient encounters and entering data from digital forms
Stock examination rooms with adequate supplies of diagnostic agents, clinical samples, and other medical materials
Monitor inventory levels of contact lenses, solutions and supplies and place orders as needed
Check status of contact lens orders, communicate delays, and notify patients when lenses arrive
Enter data for contact lens fittings and dispenses into the electronic medical record
Submit contact lens and other medical orders and ensure proper insurance billing
Respond to patient messages regarding contact lens orders, fittings, and general inquiries
Maintain cleanliness of clinical areas by disposing of trash, covering equipment, and light cleaning duties
Assist optometrists during patient examinations, testing, and contact lens fittings as needed
Accurately document patient information, test results, and clinical notes
Shut down computers, equipment, and secure rooms at the end of the clinic day
Perform other clinical and administrative tasks to ensure efficient patient flow
Adhere to all privacy, safety, and compliance protocols
Requirements:
Effective communication skills for interactions with patients and staff
Excellent organizational and multitasking abilities
Strong attention to detail and ability to follow protocols
Certified Paraoptometric (CPO) or similar certification preferred

Optician
The Optician plays a vital role in our optometry practice by ensuring patients receive accurately
fitted and properly dispensed eyeglasses and other vision aids. This position is responsible for
managing the day-to-day operations of our optical gallery.
Responsibilities:
Greet patients and provide exceptional customer service during the eyewear selection and dispensing process
Interpret prescriptions and take precise measurements to determine lens specifications
Educate patients on frame styles, lens options, and product features to guide their selections
Place and track orders for eyeglasses, contact lenses, and other vision aids from optical labs
Verify accuracy of completed orders and make adjustments to ensure proper fit
Maintain organized patient records and document all transactions
Manage product inventory by monitoring stock levels, restocking displays, and reconciling counts
Process billing, insurance claims, and patient payments for optical services and products
Respond to voicemails, emails, and optical messaging in a timely manner
Maintain a clean and orderly optical dispensary area, including cleaning tools and displays
Adhere to quality standards as well as healthcare laws and regulations
Requirements:
Excellent customer service and communication skills
Ability to multitask and work in a fast-paced environment
Detail-oriented with skills in maintaining records and inventory
Strong technical aptitude for understanding ophthalmic optics, lens materials, and eyewear design principles

Billing Specialist
The Billing Specialist plays a critical role in ensuring our optometry practice receives accurate
and timely reimbursement for services rendered. This position is responsible for managing the
full billing cycle including insurance verification, claim submission, payment posting, and
accounts receivable.
Responsibilities:
Verify patient insurance eligibility and benefits prior to appointments and clearly document coverage details
Create and submit claims to insurance payers for all patient visits in a timely manner
Follow up on unpaid or rejected claims by working rejected claims, providing additional information as needed
Post payments from insurance companies and patients to correct accounts
Generate patient statements and process refunds when applicable
Analyze accounts receivable regularly and follow up on outstanding balances
Reconcile daily/weekly revenue reports and investigate discrepancies
Serve as liaison between practice and insurance companies to resolve billing issues
Maintain up-to-date billing and coding knowledge to ensure compliance
Pull requested documentation like Explanation of Benefits for billing records
Process secondary claims, workers comp, auto claims as needed
Assist patients with billing inquiries and set up payment plans when needed
Requirements:
Effective communication skills for interactions with patients and payers
Outstanding attention to detail and commitment to accuracy
Ability to multitask and meet strict deadlines
Previous experience in medical/optometric billing preferred
